Rental booking handover: what your team needs to know
A practical handover checklist for rental teams: identify the home, dates, quote, payment status and next action before another teammate takes over.
Start with the handover, not another chat group
A guest sends dates, a broker sends a unit photo, and a teammate mentions a transfer. Each message may be useful, but the next person still needs to work out which details belong together. A booking handover should let someone continue the work without reconstructing the conversation.
You can start with a shared checklist. The important change is agreeing where the current record lives and who updates it. Software becomes useful when it supports that agreement.
Record the exact home and dates
Use one unit identifier your whole team recognises. A photo or a nickname is not enough if several apartments have similar interiors. Include the property, compound where relevant, unit reference, check-in date and check-out date. Write the month as a word when sharing dates in a message to avoid ambiguity.
Record the guest count and any request that affects whether the stay can be accepted. Separate a guest preference from something the team has actually agreed to provide.
Keep a request separate from a confirmed stay
Someone asking whether a home is free has not necessarily booked it. Before the next teammate replies, they should know the current status, who checked availability and when it was checked. If a calendar import has failed or another channel needs checking, carry that uncertainty into the handover.
Avoid copying an old quote into a new date range. Record the agreed nights, rate, itemised fees and quote version for the actual request. Make it clear which amounts have been agreed and which are still being discussed.
Separate payment evidence from payment verification
A transfer screenshot is evidence to review. It does not by itself tell your teammate whether the funds were verified against the expected amount and recipient. Record the amount, method, reference and verification status. Follow your team's confirmation policy before changing the booking status.
Keep sensitive guest and payment details inside the appropriate workspace. A public listing link should help someone browse the home; it should not expose the team's financial record.
Give the next action an owner
“Follow up” is incomplete. Write what needs doing, who will do it and when: check the requested dates, resolve a price question, review payment evidence or send arrival details. A handover is useful when the next person can tell whether they are waiting or expected to act.
